A chatbot is a receptionist who only talks. An agent is an employee with tools.

What is the difference between a chatbot and an agent?

By Palace City ·

People use these two words as if they mean the same thing. They do not.

A chatbot talks

A chatbot answers questions. You type, it replies. Think of a receptionist who can tell you anything about the company but cannot touch the files, the schedule, or the cash drawer.

Chatbots are useful for explaining, drafting, summarizing, and brainstorming. But when the conversation ends, someone still has to take the next step.

An agent acts

An agent is an employee with tools. It can still talk. But it can also do things: look up an order, check a price list, draft a quote, update a spreadsheet, send a message for approval.

The tools are what make the difference. An agent without tools is just a chatbot.

Why the difference matters

When something can act, the stakes go up. A chatbot that gives a wrong answer costs you a correction. An agent that takes a wrong action can cost you a refund, a lost customer, or a bad record in your system.

That means three things:

  • Give it only the tools it needs. Do not hand a new employee every key on day one.
  • Keep a person in the loop for anything that matters. The agent drafts. A person approves.
  • Keep a record. You should be able to see what it did and why.

Which one do you need?

Often a chatbot is enough. If the work is “answer questions” or “write a first draft,” start there. If the work is “take this request, look things up, and prepare the result,” an agent may fit.

Start with the smaller one, and add tools only when you can describe exactly what each tool is for.
